How to navigate call centers for clear answers

We get it—calling an insurance company isn’t exactly the highlight of anyone’s day. Some folks avoid it like the plague, while others dive in and spend hours on hold just to solve a five-minute issue. Talking to carriers isn’t always smooth sailing, but we’ve picked up a few tips and tricks from the school of hard knocks—and we're here to pass them along to make your next call a little less painful.

1) Verify Information Clearly & Precisely

When calling insurance carriers like Humana, UnitedHealthcare, or Aetna, the first step is verifying your identity. Be ready to provide:

  • Full Name

  • Date of Birth

  • Address / Zip Code

  • Member ID

💡 Tip: Keep your answers short and direct. This saves time and avoids confusion.

Here’s an example of a Direct Verification vs. a Everyday Call:

Direct: Hello, my name is John Doe. My date of birth is June 6, 1958. Zip coden 39110. Member ID is XXXXXXX.”

Everyday call: Hi, I’m John. I’m calling about a new ID card. . . Oh, you need my member ID? Let me grab my wallet.”

2) Ask Direct Questions

Direct questions are short and sweet. This helps the conversation move along smoothly while making the most of your time. Being direct reduces the chance of confusion or vague answers. It helps the representative understand exactly what you're asking, which leads to more accurate and relevant information. Clear, confident questions signal that you know what you’re talking about. This can help build credibility and set the tone for a productive, respectful conversation.

3) Be Persistent

Not every representative will have the answer you need—and sometimes even after multiple calls, clarity can still be lacking. If you've spoken with several reps and are still not getting a clear response, it's okay to escalate.

Try saying, “Sally, I appreciate your help, but I’m still not getting the clarity I need. Is there a supervisor I can speak with?”
